Council Documents: Help

This council minutes system has specifically designed so that the council documents it contains can be easily examined in a variety of ways.

Do you want to have help to:

  1. Find a particular minute
  2. Look at all the minutes for a particular meeting
  3. Look at the minutes for all the meetings of a particular committee
  4. Look at all the meetings for a particular year (volume)
  5. Look at all the minutes for a particular year (volume)
  6. Look at the latest minutes for the latest meeting that has been added to the system

How to find a particular minute

  1. Go to the search page


  2. Key into the 'define search' box all the words that relate to the minute or report you wish to find.

    Try and choose as many relevant words as possible


  3. If you are looking for a report, press the 'report' button


  4. Unless you are certain of the year, leave the default as 'search all years'


  5. Press the 'SEARCH now' button


  6. If you get too many hits, re-define your search by:


    1. adding extra words to the search list


    2. restricting the search to a specific year


  7. Look at a specific minute or report by 'clicking' the appropriate minute heading or minute number in the search hits list

How to look at all the minutes for a particular meeting

  1. Go to the year (volume) information page.


  2. Select the year (volume) you are interesting in.


  3. Select the committee and date of the meeting you wish to examine.

    This will give you the meeting detail page. This page lists all minutes for that particular meeting as well as details of the date, time and location of the meeting. It also shows which members (councillors) and officers (official council staff) who were present at the meeting.


  4. Select the first minute from the list to display that particular minute.


  5. Press 'next' on the top or bottom menu to look at the next minute.


  6. Repeat step 5 until you have seen all the minutes for that meeting.

How to look at the minutes for all the meetings of a particular committee

  1. Go to the year (volume) information page.


  2. Select the year (volume) you are interesting in.


  3. Look down the committee list and find the committee you wish to examine. Select the first entry (this should be the first meeting of this committee in this year (volume).

    This will give you the meeting detail page. This page lists all minutes for that particular meeting as well as details of the date, time and location of the meeting. It also shows which members (councillors) and officers (official council staff) who were present at the meeting.


  4. Select a minute from the list to display that particular minute.


  5. To get back to the meeting details page, press your browser's 'back' button.


  6. To get back to the committee list, press 'committee' link on the top menu.


  7. Repeat 3-6 until you have examines all the minutes for that committee.

How to look at all the meetings for a particular year (volume)

  1. Go to the year (volume) information page.


  2. Select the year (volume) you are interesting in.


  3. This gives you a complete listing of all the meeting indexed within that volume (year).

Look at the latest minutes for the latest meeeting that has been added to the system

  1. Go to the latest minutes and reports page.


  2. Select either 'minutes' or reports to see the latest meeting's minutes or agenda and reports
